What personal data we collect

When you use this site or enquire about an event, we may collect:

• Contact details — name, email address, phone number, company name.
• Enquiry and booking details — event date, group size, package, and any message you send us.
• Dietary requirements and allergy information, where you provide this for catering purposes.
• Technical data — such as IP address, browser type, and pages visited, collected automatically when you browse the site (see our Cookie Policy for details).

A note on allergy and dietary information

Allergy and health-related dietary information is treated by UK data protection law as "special category data", which requires extra care. We only ask for this where necessary to keep guests safe at an event, we only use it for that purpose (briefing venues and caterers), and we keep it only for as long as needed to plan and deliver the event.

How we use your data, and our legal basis

• To respond to enquiries and deliver a booking — necessary to take steps at your request before entering a contract, and to perform that contract.
• To follow up on an enquiry that didn't convert to a booking — our legitimate interest in growing the business, balanced against your right to opt out at any time.
• To keep guests safe (allergy/dietary information) — necessary to protect the vital interests of guests, and/or your explicit consent where you provide this information directly.
• To improve this website (analytics cookies, where enabled) — based on your consent, given via the cookie banner. See our Cookie Policy.

Who we share your data with

We may share your data with:

• Venues, caterers, and entertainment suppliers involved in delivering your event — limited to what they need (e.g. guest numbers, dietary requirements).
• Service providers who process data on our behalf, such as our website booking-form provider (Web3Forms) and hosting provider. These providers only process data under our instructions.
• Regulators or authorities, where we're required to by law.

We do not sell your personal data. Where a service provider is located outside the UK or European Economic Area, we ensure appropriate safeguards are in place before any data is transferred.

How long we keep your data

We keep enquiry and booking data for as long as needed to deliver your event and to meet our accounting and legal obligations afterwards, and then delete or anonymise it. Marketing data is kept until you ask us to stop, or until it becomes clear you're no longer interested. Allergy/dietary information is deleted once the relevant event has taken place, unless you have an ongoing booking with us.

Your rights

Under UK GDPR, you have the right to:

• Ask for a copy of the personal data we hold about you.
• Ask us to correct inaccurate data.
• Ask us to delete your data, in certain circumstances.
• Ask us to restrict or object to how we use your data.
• Ask for your data to be moved to another organisation (data portability).
• Withdraw consent at any time, where we rely on consent (e.g. analytics cookies).

To exercise any of these rights, email us at hello@awesome-events.co.uk. If you're not happy with how we've handled your data, you also have the right to complain to the Information Commissioner's Office (ICO).

We use reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse.
